The Problem

The Problem

Retrieving medical records was either done in-house with no real system in place or through inefficient vendors that took months of constant follow-up to get requests back.

The Solution

The Solution

With Codes Health, the firm now has a single dashboard to track every request from submission to delivery. Retrieval that once took months now happens reliably and quickly.

Case Outcomes Depend on Getting the Right Records

Daly & Black is a litigation firm that handles a number of different case types. Without the correct medical records, they cannot move a case forward as they rely on the records for both the investigation and as evidence in a case.

“One of the hard things to do when you're ordering medical records is to get the person who's in the hospital medical records office, which is generally in the basement of the hospital, to get them to take the time and the effort and the speed to get the records for your clients that you need.”

Charles Brown, Managing Partner

The Process Before Was "Helter Skelter"

Historically, the medical record retrieval process was inefficient and disorganized. It would slow down investigations and cases while wasting hours of employee time. Daly & Black also had no way to stay on top of record requests.

"There was really no orderly way of keeping track of whether they came in, whether they're still out there, whether we paid for it."

Karen Satriano, Firm Administrator

Sometimes they did the process in-house and sometimes they used outside vendors who required constant follow ups. Satriano says, "on a normal basis, it would take months to get the request back, and a lot of follow-ups in the meantime."

A Vendor for Today’s World

Charles Brown first encountered Codes Health at a lawyer convention, surrounded by medical records vendors all pitching the same offering. Codes Health stood out from the crowd though.

He says, "What really struck me about the team at Codes Health was that they were very technologically forward. They were talking about using artificial intelligence to help them in ways that really none of the other providers were."

But it wasn’t just technology that Codes Health brought to the table for Daly & Black. Speaking to the company founder Alvaro Rivero showed the team truly understood the problem they were solving as well.

Brown says, "[Alvaro’s] background in healthcare records prior to founding Codes Health showed me that he had a lot of expertise and a real understanding of the pain points for the lawyers in obtaining these records."

Now the Team Can Focus on Clients

Now, case managers submit a request and everything else is handled. Daly & Black can trust that Codes Health will follow through on their promise to procure records efficiently and properly to free up time for everyone at the firm.

Dante Gonzalez, a case manager at Daly & Black, says the biggest difference Codes Health has made is efficiency. “I'm able to submit my request, they're able to handle everything, and that lets me focus more on my clients."

Instead of spending months chasing records with no system in place, the team at Daly & Black can focus on what matters, moving cases forward for their clients.
